1. Information We Collect

We collect information you provide when you create an account, use the portal, upload files, or pay for services. This may include:

• Account information, such as your name, email address, and password. If you sign in with Google, we receive the name and email associated with that Google account.
• Business and workspace details you enter in Nexus, such as company name and contacts you choose to store.
• Documents and other files you upload to the client portal, which we use to set up and operate the AI assistant we configure for your organization.
• Billing information processed by Stripe. We do not store full credit or debit card numbers. Stripe handles card data on our behalf.
• Support messages you send us, including emails to contact@aedifyhq.com.

2. How We Use Your Information

We use the information we collect to:

• Provide and maintain the Nexus portal, including login, documents, billing, and workspace settings
• Set up, configure, and support the AI assistant we operate for your organization (including loading documents you upload so the assistant can use them)
• Process payments and send invoices and receipts
• Respond to support requests and communicate about your account
• Keep the service secure and prevent unauthorized access

We do not sell, rent, or trade your personal information. We do not use your information for unrelated advertising.

3. Cookies

Nexus uses essential cookies so you can sign in and stay signed in. When you pay, Stripe may also set cookies needed to complete the payment. We do not use advertising cookies. For more information, see our Cookie Policy.

4. We Do Not Sell Personal Information

AedifyHQ does not sell personal information. We share information with service providers only as needed to operate Nexus and deliver the managed AI services you have engaged us to provide.

5. Service Providers

We use trusted companies to help us run Nexus. In plain language, they currently include:

• Supabase — account sign-in, database, and file storage for the portal
• Vercel — hosting the Nexus website and application
• Stripe — payment processing, invoices, and billing
• Anthropic (Claude) — the AI assistant we configure for clients. Day-to-day chat may take place in Claude; documents and context you provide through Nexus may be used to set up that assistant

These providers process information according to their own privacy policies, and only as needed to provide their services to us. We do not share your personal information with them for their own marketing.

6. Data Retention

We keep account, billing, and uploaded files for as long as your organization uses Nexus and as needed to provide the service, meet legal or accounting requirements, and resolve disputes. If you close your account or ask us to delete information, we will remove or de-identify it when we no longer have a legitimate need to keep it, unless the law requires us to retain it longer.

7. Data Security

We implement reasonable administrative and technical safeguards to protect the information you provide against unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal information
• Withdraw consent to our use of your information, where applicable

9. Children's Privacy

Nexus is a business client portal. It is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this policy periodically.
